Malvern Civic Society Archives Project

Purpose of the Archive

The Archive is there to collect and preserve documents and material associated with the Society since its foundation in 1959. As with most archives, the collections of documents are rather patchy, mostly dependent on past members failing to throw things away and then handing them on. Amongst the items held are:

  • Minutes of meetings of the Executive Committee

  • Newsletters produced mostly to keep members informed

  • Minutes of the Annual General Meetings

  • Monthly meeting reports

  • Annual Reports of the Society

  • Minutes of meetings of the Planning Committee

  • Press cuttings, photographs and letters.

Digitisation

There is a programme of digitisation in place and in recent years both paper and digital copies are kept. Some printed material has been digitised and so can be searched for content, whilst the transcribing of hand-written documents has yet to get underway.

Archive Management System

Since 2011, documents held in the Archive are being recorded using a custom-built Archive Management System which holds over 1500 items to date. It records details such as a description, date of item, graphic where possible and the type and location of any physical copy of the item. A unique reference number is used to match the record with the digital file and the physical item.

Any enquiry about the Archive can be made by sending a note to the Archivist at archives@malverncivicsociety.org.uk following which we will do what we can to help with the enquiry.
